A sample plan
An AI Advantage Plan for an invented business, as a member might receive it.
Illustrative only. The business, its answers, baseline and targets are invented to show what a plan could look like. No result, customer testimonial or product capability is claimed.

Illustrative example: an invented commercial cleaning company.
Your goal
You run a small commercial cleaning business serving Las Cruces and nearby communities. You want to prepare consistent estimates with less evening administration.
In this example, you told us that you prepare about eight estimates a week, estimate that each takes around 25 minutes, use email and a spreadsheet, and often have to ask prospects for missing details. You approve every price and want to try an improvement with your existing tools first.
Start here: make the information collected for each estimate consistent. Once the inputs are reliable, a drafting assistant becomes easier to test and review.

Your three priorities
Try now
Standard estimate intake checklist
Missing information creates repeated work, and a checklist is easy to change.
First step: Adapt the checklist below, then use it on your next five estimates.
How to judge it: Follow-up questions, second visits and corrections, compared with your recent estimates.
Test after intake
AI-assisted draft scope of work
A confirmed checklist could support a repeatable draft while you keep price approval.
First step: Once the checklist is in steady use, try a de-identified example in a tool you already have and compare it with your usual draft.
How to judge it: What your review finds: invented scope, a missing exclusion, and whether correcting the draft took longer than writing it yourself.

Ask for a suitable property-management introduction
Recurring commercial work matches your stated goal, but no willing counterpart has been identified.
First step: Confirm your service area, capacity and what may be shared before seeking a match.
How to judge it: Whether your area, capacity and sharing limits are written down, and whether a suitable business agrees to an introduction. No match is a valid result.
Your first improvement needs no new software. For the drafting experiment, confirm the tool’s capabilities, data handling and total cost before subscribing or entering business information. An introduction depends on a suitable business that agrees to it.

A resource you can use today
Adapt this checklist in the place you already keep estimate notes. Strike any line that never applies and add the question you ask most often:
Estimate intake checklist for cleaning, estimate-intake-checklist-cleaning version 1. Adapted from estimate-intake-checklist version 2.
- What the customer wants done, in their words.
- Type of premises and approximate area to clean, and whether you measured it or the customer estimated it.
- Areas included and excluded from the requested service.
- Service frequency and preferred access times.
- Supplies or equipment the customer expects you to provide.
- Conditions needing a site visit or clarification.
- Scope confirmed, outstanding questions, and who approves the final estimate.
Keep pricing in your existing price sheet. Customer contact details belong in your normal business system; the Radar assessment doesn’t need them.
Your first 30 days
- Before the first estimate
- Adapt the checklist. Write down, as best you remember, how often recent estimates needed follow-up questions, a second visit or a correction after sending. Mark it as a guess. You do not need to time anything to start.
- Next five estimates
- Use the checklist from first contact. Fill in what you can, mark the rest as open questions, and send all open questions in one message. Price from your existing price sheet as usual. Change any wording that confuses customers. You stay responsible for confirming scope and price.
- After five estimates
- Compare follow-up questions, second visits and corrections with your remembered baseline, marked as a guess. If the checklist helps, keep it. Once the checklist is in steady use, test this draft instruction on made-up or de-identified information:
Draft a cleaning scope from the confirmed notes below. Use only the supplied facts. Put missing information under “Questions to confirm.” Do not invent measurements, prices, service frequency or customer commitments. This is a draft for the business owner to review.
Check each draft against the notes before using it. Stop the AI trial if it invents scope, leaves out important exclusions, or takes longer to correct than drafting by hand. Keep the checklist even if the AI experiment doesn’t help.
How progress is judged
Judge each improvement by what happens.
Estimate intake checklist: count follow-up questions, second visits and corrections against your recent estimates. If you use a remembered baseline, mark it as a guess. Timing is optional, and the 25 minutes you gave us stays an estimate until checked.
AI-assisted draft scope: for each draft, note scope the notes did not support, an exclusion left out, and whether correcting it took longer than writing the scope yourself. Stop if any of those keeps happening.
Property-management introduction: record whether your service area, capacity and sharing limits are written down and whether a suitable business agrees to an introduction. No match is a valid result. Nothing is shared without both businesses agreeing.
After 30 days, record the counts, how many estimates you measured, which figures are guesses and whether the process feels easier.

Days 31 to 90
If the trial helps, keep the checklist and show one colleague how to use it. Connect intake to an existing system only if duplicate entry is still a real problem. If the trial fails, find the remaining bottleneck before adding tools.
At a later review, decide whether to improve estimating further or focus on recurring customers.
In the planned membership, the plan, the starter resource and the agreed guidance are included. A custom intake form, an integration, automated customer messages or a managed workflow would need a separate scope and quote. You can use the plan yourself or with another provider.
Next action: adapt the checklist, then use it on your next five estimates and note follow-up questions, second visits and corrections. Nothing needs to be bought to begin.
